4 Strategic Steps for your LTL RFP

Set your goals in advance!

Bidding your LTL shipper profile can be complicated. Regulations, accessorial, NMFC classification and dimensions make it hard for many shippers to properly execute the RFP process.


Your transportation RFP should have a clear intention set in advance, such as controlling the spend, or expanding carrier options. It is important to be organized prior to launching the RFP and then remain focused on the desired end results. Fortunately for you we have 4 strategic steps provided below to make this process smooth for you and the carriers. Click on each number to review each step:

Rate Base

Shippers do not have the tools to properly compare discounts from the carriers since the rate bases are different.  Partnering with a logistics management provider is necessary for modeling the custom contracts against historical data to run simulations for accurate comparison. Translogistics often will receive pricing from carriers using a Czar Lite rate base as it enables billions of zip-to-zip rating options. Carriers often can price certain markets more competitively utilizing their own base however, and this is especially common in regional markets.  The base is mission critical as a 99% discount based on a terrible base could price one right out of the market. Having TLI launch a custom RFP would also protect you as a shipper from being susceptible to blanket General Rate Increases (GRI) throughout the year.

Include Regional Carriers

It is easy to get comfortable with carriers you are familiar with & trust.  It is common to see a large shippers consolidate there spend down to two national carriers.  However, it may be financially beneficial to include new regional carriers that may lower cost and increase transit time.  While we recommend including incumbent carriers in the bid, we also encourage exploring other carrier options we rate against your data sample.


Fuel Surcharge

Many carriers use the fuel surcharge as a profit center. While fuel is overlooked by many, some shippers seek to have the surcharge waived altogether which results in a violation of the PRICING GOLDEN RULE. If carriers need to hedge they will not price as aggressively and this will result in a massive increase on the linehaul as fuel is highly volatile.  The strategic tactic we recommend is standardizing the fuel surcharge rather than juggling many unique carrier tables.  This may involve utilizing a third party such as the Department of Energy so that both the shipper and the carrier reach a ‘fair’ outcome.
